How to better understand why a shipment is Rejected

Here are the four primary instances a booking request may receive a REJECTED AWB Status.

  1. Cargo space not available on one or more requested flights. Choose an alternate route
  2. INVALID SHIPPER AWB NBR. AWB is not assigned to Shipper.
  3. INVALID SHIPPER ID. Shipper validations fail.
  4. Unable_to_route Routing validations failure

 

Cargo Space Unavailable
This Rejection indicates that there is not cargo space available on one or multiple flights selected for the Shipment Booking.  There are two ways to counter this Rejection.

  1. Choose Alternative Flight Button

Select a new flight option without redoing the entire booking.

Main Dashboard → EDIT Button (next to Rejected Shipment) → this leads to the Shipment's Booking Editor page → Top Right Corner “CHOOSE ALTERNATIVE FLIGHT BUTTON” 

Use the CHOOSE ALTERNATIVE FLIGHT BUTTON to select a DIFFERENT route.  The booking request will automatically resubmit once a new flight has been selected and Pending is approximately 5 - 10 seconds before the AWB Status is potentially Accepted.

  1. Shipment Details - Adjust the weight / pieces / dims of what is being shipped.

Main Dashboard → EDIT Button (next to Rejected Shipment) → this leads to the Shipment's Booking Editor page → Scroll down to Shipment Details → adjust fields then click SAVE button on far right to resubmit Booking Request.

Invalid Shipper Air Waybill Number
This Rejection indicates that the air waybill number used for the Booking request is no longer valid and assigned to the organization's profile.  There are two reasons for this.  1) Pre-assigned air waybill numbers are only valid for 1 calendar year, after that they expire and any air waybill numbers used for bookings will be viewed as invalid. 2) The number was never assigned to the customer and it was randomly accepted.

When this happens, please use the following link to request a new block of air waybill numbers from Southwest Cargo.

Invalid Shipper ID
This Rejection indicates that the Shipper Location created for the shipment has an incorrect three digit code listed within the Cargo Location ID field.  The Cargo Location ID is the three digit number that proceeds the account number assigned to an organization by Southwest Cargo.  This is for billing purposes i.e. account number #####-001 Generally, the Cargo Location ID is 001, however, organizations that have multiple stations with separate billing will have different Cargo Location IDs from 001 upwards.

Please note the Cargo Location ID is NEVER 526.

To fix this issue, Access the Contact Book from the Left Sidebar.  Shipper Locations.  Find the Shipper Location used for this booking that was Rejected.  Click the EDIT button.  Update the Cargo Location ID to the CORRECT three-digit i.e. 001 code and click SAVE.  THEN, go back to the Shipment's Booking Editor Page.  Click within the pieces field but do not change anything.  Then on the far right, click Save.  This will resubmit the booking request with the Shipper Location's Cargo Location ID field updated (if done correctly).

If your Cargo Location ID is 001, creating a different Shipper Location for a different airport DOES NOT CHANGE the Cargo Location ID.  That ID remains 001.

Unable_to_route
When this Rejection is received, it means the flight selected is unavailable due to unanticipated reasons.  However, the fastest way to select a new flight without redoing the entire process is within the Booking Editor Page.

Main Dashboard → EDIT Button (next to Rejected Shipment) → this leads to the Shipment's Booking Editor page → Top Right Corner “CHOOSE ALTERNATIVE FLIGHT BUTTON” 

Use the CHOOSE ALTERNATIVE FLIGHT BUTTON to select a DIFFERENT route.  The booking request will automatically resubmit once a new flight has been selected and Pending is approximately 5 - 10 seconds before the AWB Status is potentially Accepted.
